Venue night-of checklist

A manager’s pass through the room before doors, in the order the checks catch problems. Ten minutes the first time, two once it is routine.

Screens

  1. 1
    Every TV device is awake and on its link
    Each screen has its own permanent TV link, from Venues, Open TV Display, or from the screen’s card under Your Displays. The TV should show either the idle screen or, if the event is already live, the QR. A blank TV or a browser home page means the link is not open.
  2. 2
    Full screen, sleep off, screen saver off
    On the device driving each TV, not on the TV. A device that sleeps at midnight is the most common Saturday problem.
  3. 3
    Edges are not cropped
    If the QR in the corner or the edge of a scoreboard is missing, fix it on the screen’s calibration sliders. It sticks, so this is usually a one-time check.
  4. 4
    Wired where possible
    A TV device on ethernet does not care how crowded the Wi-Fi gets. If any screen can be wired, wire it.

The event

  1. 1
    The right event is live at the right venue
    A DJ event goes live from DJOS with Go Live. A tournament goes live from Live Tournament Control. A game session goes live from its host panel. The TV only shows module scenes for a live event at that venue.
  2. 2
    The guest code matches what is printed
    If the venue prints QR codes on table tents, they belong to one event. Reuse that event for the recurring night and the printed code stays valid. A brand-new event has a new code.
  3. 3
    Intake defaults are set
    Requests, reactions, shoutouts, and photos can each be on or off before the DJ arrives, from the event’s DJOS settings. The DJ can change them live.

Several people can moderate from several devices at the same time, and several venues under one organization can be live at once with different people running each. See Staffing the night.

Moderation

  • On Pro and Enterprise, turn on AI moderation from the CrowdOS tab so shoutouts and photos moderate themselves. Someone should still glance at the queue; the AI leaves anything it is unsure about for a person.
  • On Core, assign one person to the CrowdOS tab. Nothing reaches the TV until someone approves it.
  • The photo upload screen tells guests the venue may use their photos to promote events. If a guest asks for a photo to be removed, reject it from the queue or the approved grid and it leaves the wall immediately.
Note
Closing out
End Live in DJOS, or End Session in a game, returns the TV to the idle screen and stops the guest link. Leave the TV device on its link; tomorrow it wakes up ready.
