Booth checklist and network fail-safes

Five minutes before doors, in order. Then the honest version of what happens to each part of VYVE when the room’s network gives up, and what to do about it.

Before doors

    Laptop on mains power, sleep off
    A laptop that sleeps at 2 a.m. takes VYVE Link with it. Plug in and disable sleep on power for the night. Details in Laptop health on a long night.

    Open VYVE Link and confirm it reads Connected
    Connected means connected to tonight’s event, not only signed in. If it reads Disconnected, click Authorize with VYVE and pick the event. Not using VYVE Link? Skip this and type tracks into Now Playing by hand.

    Open DJOS and press Go Live
    The guest link, the QR on the TV, and the join code all start with Go Live. Nothing reaches guests before it.
  4. 4
    Look at the TV
    It should show the QR and the five-letter code. If it still shows the idle screen, the display device is not on the link or the event is not live. Fix that before anything else.
  5. 5
    Scan the QR with your own phone
    Send yourself a request and tap a reaction. If both show in DJOS within a couple of seconds, the whole chain works. This is the one test that catches everything.

    Set the intake toggles for the first hour
    On the Live tab: requests, reactions, shoutouts, photos. Open what you want open now. You can close any of them later without ending the night.

    Put the first scene up
    Request QR is the usual opener while the room fills. Switch to a crowd view from the CrowdOS tab once reactions start coming in.

What runs where

VYVE runs over the internet, not over a local network in the venue. That is the fact every fail-safe below comes from: each piece only needs its own connection to the internet, and none of them need to reach each other locally.

Fail-safes, in order of how often they matter

    Guests on cellular, not venue Wi-Fi
    Most guests never join venue Wi-Fi and do not need to. VYVE’s guest page is light. The real risk is a packed room with thick walls killing cell signal. If the venue has guest Wi-Fi, put the network name on the TV or say it on the mic once.

    A phone hotspot for the booth laptop
    If the booth is a Wi-Fi dead zone, tether the laptop to your phone. DJOS and VYVE Link send very little data; a hotspot handles an entire night.
  3. 3
    The TV device on ethernet
    Wire the display device if the venue can. A wired TV device is the single biggest reliability win, and it is the venue’s to set up, not yours. Ask.

    DJOS on your phone as a second console
    DJOS is a web page. Log in on your phone and keep it beside the mixer. If the laptop’s browser locks up, you approve requests from the phone and nothing on the guest side notices.

    Now Playing by hand
    If VYVE Link cannot connect, type the track and artist into Now Playing on the Live tab. Guests, the TV, and the request page show what you last saved.

    Show QR as a fallback for the TV
    If the TV is dead and cannot be revived, Show QR on the Requests tab puts the code on your laptop screen. Hold it up, or read the five letters out. The code is always current.
Heads up
A residency keeps its code
Reuse one event for a recurring night and the join code and any printed QR stay valid week after week. Create a new event for every date and last week’s printed QR points at an ended event. If a guest says the code does not work, check which event is live before blaming the network.

If it all goes wrong

The Live right now page has the three most common failures as quick-fix cards with the checks in order. The red SOS button in the header opens the same thing on any docs page.
